The short version: the free check and tracker run in your browser, and we never see what you type there. If you buy the letter pack or join a waitlist, we keep only what we need to provide it.

Effective 12 October 2026

1. Who we are

Fix My Name Online is run by Madison Jade Pty Ltd, ABN 56 661 580 936, South Australia (“we”, “us”). We handle personal information under the Australian Privacy Principles in the Privacy Act 1988. Contact: admin@fixmynameonline.com.

2. What we collect, tool by tool

WhereWhat we receiveWhere it’s kept
Free check, plans and trackerNothing. Your answers, links, letters and notes stay in your browser. In your browser tab, or on your browser if you switch on “Save on this browser”. You can clear it any time.
Letter pack (paid)Your checkout email and payment confirmation from Stripe, and what you enter in the workspace: name, country or state, the link, your facts, letters, notes, status and dates. Our server, hosted by Render in the United States, and our backups.
NameWatch (existing subscribers only)Your sign-up record: your name, email, phone if you gave it, location, the names and phrases you asked us to watch, and any links and notes you added. We send the names and phrases to DuckDuckGo and Google News as searches, and keep the results each check finds.Your sign-up record is on our server, hosted by Render in the United States, and in our backups, including a copy on our own computer in Australia. When you signed up, a copy was also emailed to us through Brevo, and your name, email, phone and location were sent to us as a Telegram notification. The search results, and what each check has already seen, are kept on our own computer in Australia. Alerts and status notes are emailed to you from admin@fixmynameonline.com, a mailbox hosted by Microsoft. Every one of those emails lists the names and phrases we watch, and alerts also list the links found, so a copy stays in that mailbox’s sent mail. For each alert we also get an internal note with counts only, not your names or results.
NameWatch waitlistYour email address and the date you joined. Our server, hosted by Render in the United States.
Emails you send usWhatever you include. Our email inbox.
Earlier tools (Free Search Snapshot and NameWatch sign-ups before October 2026)What you entered at the time, such as your name, email, country and description. Our server and backups, with a private link for you.

We don’t ask for identity documents, and please don’t send them. Card details go straight to Stripe; we never see your card number.

3. How we use it

  • To provide the letter pack: open your workspace, save your letters, and email you access and recovery links.
  • To send one email to the NameWatch waitlist when it’s back.
  • For existing NameWatch subscribers: to run the scheduled searches for the names you gave us, and email you alerts and status notes.
  • To reply to you, and to handle refunds, billing and privacy requests.
  • When a purchase completes, we get a private notification with the checkout email so we know a sale happened.
  • When someone clicks through to checkout, we record the click (the page, the time and the page they came from, plus a scrambled version of the IP address) so we can see which pages lead to purchases.

We don’t sell personal information, we don’t share it for advertising, and we don’t use what you type to contact anyone.

4. Analytics and cookies

Our information pages (the homepage, guides, pricing and similar) use Google Analytics (property G-WRZTX4P31Y) to count visits and see which pages help people. If we run advertising, those same pages may also use Meta’s (Facebook’s) measurement pixel. These tools use cookies and send data to Google or Meta.

Analytics see the page address, the page you came from, and general device and location information. They don’t see what you type on our tools, because there are no analytics or advertising tools on the free check, the tracker, the letter pack workspace, or the NameWatch page and its waitlist form. We don’t send which problem you pick, or anything else you choose in the free check, to Google or Meta.

The letter pack workspace uses one essential cookie to keep you signed in on that browser for 24 hours.

5. Who else handles it

We use these providers to run the service. Some are outside Australia, so your information may be stored or processed overseas, mainly in the United States and the European Union:

  • Render (United States): hosts the website and stores letter pack and waitlist data, NameWatch sign-up records, and records from our earlier tools.
  • Stripe: processes payments and refunds.
  • Brevo (European Union): sends workspace access and recovery emails. It also sent NameWatch sign-up confirmations, and our own copy of each NameWatch sign-up.
  • DuckDuckGo and Google News (United States): receive the names and phrases existing NameWatch subscribers asked us to watch, as search queries. They don’t receive your email address.
  • Microsoft (United States): hosts admin@fixmynameonline.com, which receives the emails you send us and sends NameWatch alerts and status notes.
  • Google (United States): analytics on information pages, and the Gmail inbox where our own internal notices arrive, such as purchase notices, questions sent through our earlier tools and our copy of each NameWatch sign-up.
  • Telegram: carries our private purchase and NameWatch sign-up notifications.

6. How long we keep it

  • Free check and tracker: we never have it. It stays until you clear it, or until you close the tab if you didn’t choose to save it.
  • Letter pack: while we run the service, so you can come back to it, unless you ask us to delete it. Payment records are kept as tax law requires (generally five years in Australia).
  • NameWatch: while your subscription runs, so the searches can carry on. After it ends, we keep your sign-up record, past results and copies of the emails we sent you only until you ask us to delete them, or until we no longer need them to answer questions about your subscription. Payment records are kept as tax law requires.
  • NameWatch waitlist: until we send the one email, or until you ask us to remove you. After the email is sent, we delete the list.
  • Earlier tools: until you ask us to delete them, or until we no longer need them to give you access to your guidance.

7. Your rights

You can ask to see, correct or delete the personal information we hold about you. Email admin@fixmynameonline.com. We’ll reply within 30 days. We may need to keep payment records the law requires us to keep.

8. Complaints

If you’re unhappy with how we’ve handled your information, email us first and we’ll try to fix it. If you’re still not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC).

9. Keeping it safe

Workspace data is stored on a private disk that isn’t publicly reachable, over encrypted connections. Access links work like keys: anyone with your link can open your workspace, so keep it private and don’t use a shared computer.

10. Changes

If we change how we handle personal information, we’ll update this page and the effective date at the top.
